JOB DESCRIPTION

Assistant to Advisor

The biggest part of the job is meeting with clients and filling out applications, including any required compliance forms/disclosures. Once the applications are fully completed and signed by the advisor, they are processed for approval by our broker/dealer. Once approved and the applications are submitted to the carrier, follow up to make sure the new policies are funded in a timely manner and as directed. Sometimes further action is required to fund a policy based on the contra firm’s requirements. You must be detail-oriented when filling out paperwork and follow all compliance regulations. Another large part of the job is communicating with clients who call or email needing assistance such as changing their address on their accounts or processing paperwork when they need funds sent.

  • Fill out paperwork (applications, insurance, contributions, distributions, change of address, update NAF’s, death claims, etc) and process through greendog. Make sure paperwork is in good order and all disclosures are included in packet. Then put on spreadsheet for tracking purposes.
  • Follow up to make sure policies are issued/funded properly. Inquire when necessary if an application has not funded.
  • Copy and scan new policies and deliver them. Fax in delivery receipts upon return.
  • Make allocation changes as directed by the advisor.
  • Run reports each morning to see what accounts have opened, funded or if any distributions were processed.
  • Log any account funding on my spreadsheet and in the daily blotter.
  • Input new clients and new accounts in system.
  • Document any outgoing mail in the mail log.
  • Log all checks into the check blotter, process through greendog and mail out within 24 hours.
  • Assist Jr with his licensing and product training as needed.
  • Run a daily To Do List which consists of items for both advisor and me.
  • Process/follow-up on To Do List. Make calls to clients as needed.
  • Go over each review to make sure all necessary documents are up to date. Complete new documents as needed (NAF, DOL disclosures, etc).
  • Assist clients who email and call with requests (update info, send them tax documents, distributions, etc).
  • Assist advisor in getting any information or documentation for client reviews or paperwork.
  • Make sure the conference room looks acceptable for client meetings and reviews are ready for the day along with all required forms.
  • Remind advisor of all the actions he has open, trades that need to be made, allocation calls he needs to make, etc.
  • Make sure he has completed a summary of each client meeting detailing what was discussed and/or what actions need to be taken.
  • Make sure all compliance regulations are followed on a daily basis.
  • Must be willing to be insurance licensed.
  • Must be willing to work late when needed.

After first year will get 40 hours, 2nd year 80 hours, 3rd year 120 hours, 4th year 160 hours, etc

$15/hr is not licensed, increase in pay once the insurance exam is completed and passed.
